BKMS® System with External Experts (e.g. Ombudsmen)

The integration of external and independent experts serves for the first selection and the verification of the incoming reports according to their relevance. The external position will be set up as an examiner in the BKMS® system and can be staffed by members of forensic divisions in accounting firms, by specialized experts like Control Risks, Result Group, PwC or by ombudsmen.

Experiences show that whistleblowers from certain levels have an inhibition threshold to address themselves personally or by telephone to a lawyer even though he/she guarantees confidentiality by his/her person. Whistleblowers from other countries are additionally inhibited by language and time zone barriers. Therefore the sphere of the external remains limited.

With the BKMS® system the external expert increases his/her availability for the whistleblower by receiving reports from anywhere in the world and at any possible time. Due to the possibility to access the BKMS® system e.g. from the home-office the external expert’s processing is completely independent. The coordination between the external expert and the company or administration also takes place via the BKMS® system, without travel expenses. Therefore it is possible for the external expert to bundle his/her capacities for several customers.

The external expert processes the reports and verifies them in the anonymous dialogue with the whistleblower. If the report is relevant he/she assigns it directly via the BKMS® system to the special analyst in the company or administration for information or further clarification.

For the external expert the cases remain visible and editable to comprehend the activities of the analyst. The BKMS® system enables the different participants to cooperate worldwide and independent from time. In case the report is irrelevant, the external expert can enable it for deletion.

The field of responsibility – and the work of the external experts – depends on the depth of his/her authorisation to the BKMS® system, which can be modulated and changed (if required) by the customer himself/herself.

The integration of an external ombudsman or external body of experts into the BKMS® system aims at the strengthening of the company’s or administration’s credibility dealing with reports in the BKMS® system.
